Essential Steps to Prepare Your Baby for Group Care
As your baby starts in our care, we want the transition to be smooth and comfortable. Here are some important steps to help your baby adjust:
1. Introduce a Bottle Early
Start giving your baby a bottle at home. This helps them get used to bottle feeding, ensures they
get enough nutrition while in care, and helps us keep feeding routines consistent.
2. Encourage Independent Sleep
Help your baby learn to sleep safely and independently. Babies need to sleep on their backs in
cribs, and staff cannot hold them while they sleep. Practicing independent sleep at home helps
your baby rest well in a group care setting.
3. Support a Smooth Transition
We’re here to help you and your baby during this change. If you have questions or need
guidance, we’re happy to work with you to make your baby’s start in our program successful.

We always accept waitlist requests and applications for childcare.
Child Care Application & Enrollment – Key Steps
Step 1: Join the Waitlist
• Submit your waitlist request.
Step 2: Complete Parent Portal/Application
• Fill out your application online.
• Placement is on a waitlist until a spot is available.
• Enrollment is based on attendance needs, program space, family size & income (for subsidized care).
• Keep contact info up-to-date.
Step 3: Enrollment Forms
• Complete enrollment and orientation before care begins.
• Provide all required documents and proof of eligibility (if subsidized).
• Missing paperwork may result in losing your spot.
• After accepting enrollment, you’ll get a link to complete all forms online, including
policies and procedures.

Step 4: Immunizations
• Submit a current immunization record for your child.
• Exemptions are allowed only per California child care law.
Step 5: Photo for first friends display
• Bring one 4×6 vertical smiling photo for our photo wall.
Important Notes:
• You have 24 hours to respond when a spot opens.
• Follow instructions and deadlines to secure care.
• Help is available for uploads, technology, or forms.
Personal Infant Sleep Plan
• Required for all infants who haven’t turned one year old.
• You will get a link to complete this form along with other enrollment forms.
• Please read, fill out online, sign or initial, and submit with your other forms.
Parent Permission
• Authorize staff to give medication if required.
• Link provided only when needed.
Physician Instructions
• Required for prescription medication.
• Link provided only when needed.
Attendance & Policies
• Days & Hours Attend only on enrolled days; extra hours possible if space allows (fees may apply).
• Absences Call by 8:00 a.m. if your child will be absent. One week of unreported absence = withdrawal.
• Withdrawal / Retiro: Give 30 days’ notice to remove your child.

On the last Friday of each month, the center will close at 12:30 p.m. to allow time for planning and preparing the curriculum for the upcoming month.
Tuition & Fees

At TFCC Centers & Family Services Agency, we can help families cover all or part of infant child care costs.
If paying for daycare in Santa Rosa is challenging, you may qualify for support. Our goal is to reduce financial stress and ensure your child is enrolled in a safe, caring environment.

These fees secure your child’s spot in our program and are non-refundable.
Application Fee – $100
• A one-time fee required once your child is accepted into the program.
Annual Enrollment Fee – $200
• Charged annually and pro-rated based on your child’s first day of attendance.
• Due each July thereafter.
Purpose of the Annual Fee:
• Covers insurance, enrollment processing, client files, and supplies needed for newly enrolled children.
• Helps reserve available space if required.
• Supports our staff retention program, ensuring continuity and stability for your child.
• Guarantees continuous enrollment until the day before your child’s second birthday.

Early Drop-Off / Late Pick-Up
• Unexpected early drop-off or late pick-up: $60 per hour.
• Fees are billed in quarter-hour increments unless an overtime contract is in place:
◦ 0–5 minutes late: $15
◦ 6–16 minutes late: $30
◦ 17–35 minutes late: $45
◦ 36–45 minutes late: $60
• $25 per day for accounts not paid on time.
Returned Check Fee
• $35 per check.
• After two returned checks, all future payments must be made in cash.
Only Healthy Children May Attend Our Center
Your child’s well-being and the health of others in our center are our top priorities. Children who
are sick or showing signs of contagious illness should remain at home until they are fully
recovered.
Please notify the center of any illness, and keep your child home if symptoms such as fever, vomiting, diarrhea, or severe cough are present. Clear communication between parents and staff helps us maintain a safe and healthy environment for all children.

Emergency and Disaster Preparedness
The safety of our children and staff is our top priority. Each year, all families are required to participate in a mandatory Emergency and Disaster Preparedness Orientation. During this session, we review safety procedures, evacuation plans, and communication protocols to ensure everyone knows how to respond in case of an emergency.

At TFCC, we use the Infant/Toddler Environment Rating Scale (ITERS) in our facilities to
ensure high-quality care and learning environments.
